Configuring a Fiscal Year Variant in SAP

Year-Dependent Fiscal Year Variants

You can define a year-dependent fiscal year variant. This is a fiscal year variant that only applies to a specific calendar year.


To do this, select the field Year-dependent (Figure 4) when you define your fiscal year variants. You then have to enter the period ends, defined by month and day limits, for each calendar year. Figure 5.

In this example every period is for 28 days that's why total posting periods are 13.


Shortened Fiscal Year

A Shortened Fiscal year has less than twelve months. A shortened fiscal year could be necessary in the following cases, for example:

  • Establishment of a company
  • Changeover from a calendar year to a non-calendar fiscal year, or vice versa

Special Posting Period

The Special periods in a fiscal year variant can be used for posting audit or tax adjustments to a closed fiscal year. The normal posting period are equivalent to months but special periods are not.

The special periods are the extension for the last posting period that is 12th period. And there is no hard and fast rule that a company will use the special period.


Configure Calendar year

The configurations for the fiscal year and corresponding period details can be done in SPRO settings as shown in Figure 6. First define fiscal year variant and then assign to the company code.

First we will define Calendar year. You can define the following characteristics for a fiscal year variant:

  • how many posting periods a fiscal year has
  • how many special periods you need
  • how the system is to determine the posting periods when post

As soon as you select Calendar year system will start fiscal year from Jan 1 till December 31 with 4 special general ledgers (Figure 7).


Configure non calendar year

We are defining fiscal year April to March (12 posting period) and 2 special periods (Figure 8).

If any fiscal year is non calendar year we will have to define periods. The configuration needs to cater to the fact that the months which fall in the next (Jan to Mar) needs to have a year shift indicator -1 maintained as shown below in Figure 9.
